We are seeking a Medical Assistant Outpatient, Lead who will coordinate and supervise the implementation of delegated aspects of care and assists in both direct and indirect patient care of the Saint John's Health Clinic. Provides first line management for MA I, MA II, MA III and MA with Limited X· ray License and serves as a role model to staff members. This includes adhering to operational requirements as they relate to regulatory agencies, as necessary.

In this position you will:

  • Perform general medical duties according to the California Code of Regulations for Medical Assisting. See attached. Demonstrates competency in phlebotomy, EKG, sterile technique, patient admission process, medication administration. Demonstrates competency in assisting with advanced clinical office procedures such as treadmills, sigmoidoscopies, holter monitors, minor surgical procedures, laser procedures, colposcopies.

  • Maintain a current and adequate inventory of medical supplies and pharmaceuticals. Ensures appropriate logging and inventory of Controlled Substances.

  • Responsible for immediately notifying physician and/or supervisor of any untoward events for patients and visitors. This may include clinical findings, falls, or other reportable information.

  • Maintaining an orderly and pleasing work space that ensures the integrity and safety of the practice, patients and personnel.

  • Assist as necessary to obtain information to complete the necessary authorizations as directed by insurance companies and physician/provider. Maintains authorization log and notifies patient of receipt of authorization within twenty four hours. Notifies physician/provider within 24 hours of any denials.

  • Responsible for reporting status of diagnostic/specialty services ordered by rendering physician at the site in a timely manner, as specified by supervisor.

  • Documentation/Information Management. Utilizes systems according to policy and procedure. Appropriate care and maintenance of system needs to be observed at all times.

  • Responsible for Monthly Audits of Medical Assistant station logs and reporting outcomes so to ensure compliance, use the information as a training tool, and address areas of opportunity.

  • Responsible for supervising and assisting physician/provider in training back office staff, including MA I, MA II and MA III with Limited X-ray License. Supervision includes coordinating job functions, contributing to designated staff performance reviews, first line disciplinary actions, staffing. Intervenes with customers in difficult non-routine matters. Responsible for communicating to supervisor general and non-routine back office duties. Responsible for the coordination of patient flow in the back office.

  • Responsible for orientation of new Medical Assistant hire as well as initial and annual assessment of Medical Assistant skills and annual proficiency testing in compliance with department policy and TJC standards.

  • Responsible for ensuring daily Quality Controls are run and accurately Jogged as per department policy, CLIA and JCAHO Standards.

  • Understand and use diagnostic equipment correctly. Ensures timely Preventive Maintenance and reporting of equipment failures to Biomed so to ensure patient and employee safety as well as compliance with hospital/department policies.

  • Demonstrate responsibility and accountability for own professional practice in regard to:

  • Attendance, punctuality and patient confidentiality.

  • Positive public relation image and working relationships.

  • Obtaining necessary knowledge and skill needed to maintain competence and certifications.

  • Completing all mandatory requirements, including annual safety programs, CPR, infection control and annual physical.

  • Comply with hospital, department and unit standards, including but not limited to safety, infection control, quality management, environmental, confidentiality, and patient care.

  • Participate in the development and attainment of team, department and hospital goals including:

  • Attending and participating in division meetings.

  • Volunteering or accepting assignments for projects.

  • Mission, vision and team ground rules.

Qualifications:

Required qualifications for this position include:

  • Graduation from accredited medical assisting training program or Foreign License RN or LVN or 10 years experience with competency attestation signed by supervising physician.

  • BLS.

  • State Certification or 10 years experience with competency attestation signed by supervising physician.

  • Three (3) years medical office.

  • Ten (10) or more years experience with competency attestation signed by supervising physician, or

  • State Certification.

  • Three (3) years health care setting with regulatory agency.

  • OSHA Knowledge.

  • Keyboard / type 45 wpm.

  • Ability to deal effectively with many people across a broad range of cultural backgrounds and ages.

  • Ability to work independently with little or no supervision.

  • Proficient in P.C. software applications including, Microsoft Word, Excel, PowerPoint, Access, Outlook, etc.

  • Ability to prioritize, organize and coordinate work.

  • Ability to work effectively with many people at various levels of the organization.

  • Excellent oral and written communication skills.

  • Ability to handle multiple tasks and appropriately prioritize.

  • Ability to clearly communicate with internal and external customers, including, but not limited to, patients, co-workers, management, physicians, and visitors.

  • Ability to maintain patient confidentiality and privacy in accordance to hospital and Health Clinic policy.

Preferred qualifications for this position include:

  • Spanish speaking.

  • ICD-9 I CPT Coding.

  • Knowledge of Electronic Health Records workflow and systems.
