Providence Health & Services Senior Administrative Assistant - Translational Molecular Medicine in Santa Monica, California
Providence is calling a Full Time, Day Shift Senior Administrative Assistant for the Department of Translational Molecular Medicine at Providence John Wayne Cancer Institute Santa Monica, CA.
In this position you will:
•Provide administrative support to the Department of Translational Molecular Oncology including the Director, Research Laboratory Manager, department scientists and other staff as assigned
•Perform clerical functions such as preparing correspondence, ordering lab and office supplies, assisting with the development of publications, grants, and protocols, organizing department documents, preparing and submitting reimbursements, receiving visitors, arranging conference calls, scheduling meetings, and provides high-level administrative research support by handling information requests, and preparing meeting minutes, presentations and reports.
•Enhance the effectiveness of the Director by managing complex scheduling, providing information management support and representing the department to others as a faculty, collaborator, and vendor contact.
•Have some understanding on negotiations on buying supplies and contracts
•Interacts with scientists and clinicians in study research protocols. Understanding research grant submission is an asset.
Required qualifications for this position include:
•1 years administrative support
•Knowledge of administrative and clerical procedures and systems such as word processing, formulating and managing Excel spreadsheets, development/revision of PowerPoint presentations, managing files and records, transcription, designing forms, and other office procedures and terminology
•Excellent oral and written communication skills
•Excellent organizational and logistical management skills
•Ability to take notes and accurately summarize information and decisions, retain information discussed and to make connections with previous and future discussions
•Ability to prioritize, organize and coordinate work
•Ability to handle multiple tasks, meet multiple deadlines and appropriately prioritize
•Ability to work independently with little or no supervision
•Ability to clearly communicate with internal and external customers, and deal effectively with many people across a broad range of cultural backgrounds and ages
Preferred qualifications for this position include:
•Research or Medical experience
