Providence is calling a Senior Manager, Clinical Operations Service Area (Full-Time/Day Shift) to Providence Saint Johns Medical Foundation in Santa Monica, CA.

We are seeking a Senior Manager, Clinical Operations Service Area who will be responsible for leading, planning, directing, monitoring and improving the overall performance for assigned business unit(s) within an assigned service area for Providence. This position is critical to achieve excellence in the delivery of patient care while creating a positive working environment. The Senior Manager of Clinical Operations is accountable for Operational, Financial, Clinical, Quality and Business development activities across multiple sites, each representing multiple specialties. Clinics are typically comprised of up to 18 physicians (range 4-18) with 100 staff (range 35-200 ), but subject to change. The scope of involved disciplines is typically multi-disciplinary including Pediatrics, Family Practice, Internal Medicine, Occupational Medicine, Urgent Care, Rheumatology, endocrinology and the full spectrum of medical and surgical specialties; each managed as discreet departments and integrated as part of the whole.

  • Demonstrate appropriate judgment regarding operations, patient care and physician activity

  • Determine the most cost effective and efficient levels of care clinically and operationally; implements.

  • Participate in the strategic planning process & collaborates with the administrative team and medical staff to improve performance

  • Accountable for the quality & efficient delivery of care.

  • Participate in the development, implementation, utilization and evaluation of cost effective medical programs, policies and procedures that address the care, technical and service needs of the given patient population

  • Collaborate with physician and executive leadership to identify potential service line opportunities and implements as approved

  • Collaborate with medical leadership to ensure optimal utilization management

  • Assure short and long term financial goals are met by establishing budgets.

  • Monitor and assess trends, external environment and internal practices; makes and implements recommendations to adjust operations and strategy to meet the changing business and market conditions

  • Accountable for the preparation and review of department operating and capital budgets based on criteria supported by volume and expense projections, cost benefit analysis, operating processes and other relevant information

  • Monitor departmental expenses by reviewing variance reports and taking action for adjustments and improvements

  • Ensure optimal productivity standards are met

  • Understand physician reimbursement / revenue issues and collaborates to manage opportunities for improvement

  • Demonstrate ability to access information and analyze data to make decisions in planning for patient care and operations

  • Coordinate activities between departments to reduce duplication, increase efficiency and achieve higher levels of service

  • Utilize and maximize effective systems for resource management

  • Achieve optimal patient care experience through focused customer service strategies and tactics

  • Lead staff and physicians in achievement of employee and patient satisfaction goals per strategic objectives

  • Participate in developing and implementing recruitment and retention strategies to ensure a sufficient and stable workforce of qualified staff members to meet the needs of the patient population

  • Provide leadership in the planning and execution of physician recruitment for the location(s) working with the Physician Recruitment team

  • Coordinate facility space planning, design and implementation with all constituents

  • Lead and collaborate with joint venture marketing with Marketing

  • Ensure correct business / patient process within the Clinic(s)

  • Recognize the need for proactive change; adapts to and motivates others to adapt to values, strategies, goals and plans in response to changing business conditions

  • Demonstrate competency in technology applications related to business and clinical functions

  • Optimize the utilization of the electronic medical record system and other business applications and utilizes relevant data to improve operations and patient care outcome

  • Ensure all compliance with legal, organizational & ethical issues related to patient and employee data, information and confidentiality and policies and procedures

  • Maintain physical plant & facilities

  • Communication and Relationship Management

  • Develop effective working relationships with key stakeholders and leaders

  • Manage organizational relationships in a way that builds and maintains a climate of trust and inspires commitment from others to achieve organizational goals

  • Maintain strong collaborative relationships with medical leadership

  • Participate in medical staff activities and serves on selected medical committees

  • Produce and present oral and written material to address healthcare and organizational issues appropriate to the audience

Qualifications:

Required qualifications for this position include:

  • Bachelor's Degree in Business or equivalent educ/experience.

  • Five (5) years leadership experience in a complex multi-site, medical group environment.

  • Proven track record of managing change and leading team to successful results/performance.

  • Demonstrated ability to provide coaching and development of subordinates to achieve individual and organizational excellence.

  • Ability to organize and set priorities to ensure that objectives are met.

  • Ability to establish and maintain cooperative working relationships with staff, management and physicians.

  • Skill in working independently, exercising sound judgment and follow through on activities.

  • Financial, business development, complex project management, marketing, analytical, team building and collaborative working skills are essential.

  • Proven change management skills including crafting of strategic direction, working with institutional infrastructure and processes and effectively directing/ managing tactical processes.

  • Must be adaptable: dealing with daily operations, related problem solving, physician relations, while retaining strategic focus and driving for long term results.

  • Knowledge and skills in medical group management and health systems operations and reimbursement highly desired.

  • Able to achieve goals in a working environment that uses multiple modalities of communication and computer applications.

  • Must be skilled in verbal and written communication.

Preferred qualifications for this position include:

  • Master's Degree in Business or relevant field.

  • Certification in MGMA’s healthcare executive management program desirable
